Please also note the following:

  • All bookings are required to purchase insurance. For more, including a list of insurance companies, check out our liability insurance options (PDF).
  • Alcohol is permitted at events providing you obtain a special event permit.
  • Rates are hourly and can vary based on several factors. Please include time to set up and take down your event and let us know if you require tables and chairs.
  • A non-refundable deposit of 25% is required for larger bookings.
  • All indoor rentals include use of tables and chairs.
  • There is no early access to venues for setup. The time you book must include any set up time and tear down time you require. The space is only available to access based on the time you have booked. In most cases the building is not open until staff arrive based on your booked time.

Cancellation policy

Written notice of cancellations must be received 14 days prior to the start date of the event in order to receive a refund. Refunds are less the non-refundable deposit.

Payment

We require full payment at the time of booking. A non-refundable deposit of 25 per cent is required on larger bookings.

Non-Exclusive Use Permits

Non-exclusive Use Permits (NEUPs) are for organizations hosting camps, clinics, and tours that operate out of Whistler parks or on trails, such as mountain bike races and triathlons. Permit fees collected are used to maintain trails and facilities.

Exclusions to NEUP Requirements

  • Events held on lands outside of RMOW jurisdiction, such as Whistler Blackcomb. Users should contact respective land managers to request permission.
  • Trails managed by WORCA, Alpine Club of Canada (Whistler chapter), 99Trails, the Squamish-Lillooet Regional District, Recreation Sites and Trails BC, and BC Parks.
  • Groups that use municipal sports fields, courts, and the skateboard park. Please email the Outdoor Facilities Coordinator at outdoorfacilities@whistler.ca for details.

Permit holders are expected to follow the Code of Conduct and ensure group leaders can be identified by wearing a uniform, logo, or name tag. Permits for annual events must be renewed each year.
