Outdoor Facility Bookings

The RMOW manages a variety of outdoor parks, sports fields and other locations suitable for corporate events, weddings, celebrations, tournaments, sports leagues, races, and other gatherings.

Available park locations include:

What is the process of booking an outdoor space?

Please email outdoorfacilities@whistler.ca to receive details about the space, availability, and an application form. Once the form has been filled out, we will create a facility agreement to formalize the booking.

How far in advance do I need to make a booking?

Outdoor applications require a minimum of 2 weeks’ notice to process. For larger events or tournaments, we require a minimum of 4 – 8 weeks depending on the scope and scale.
We begin to take bookings in mid-October for the following calendar year. Annual events receive first right of refusal for their usual date.

How late can I cancel my booking?

We require at least 2 weeks’ notice to receive a refund for your event. Refunds will not be provided for inclement weather.

Can I rent equipment from the RMOW (Resort Municipality of Whistler) for my booking?

The RMOW does not supply any equipment. It is up to the permit holder to supply the equipment. If you plan to serve alcohol, the RMOW can set up SEP (Special Event Permit) fencing for your event for a fee.

Do I need to purchase insurance for my event?

All activities and events conducted on municipal property or on property subject to RMOW bylaws require liability insurance. You can purchase your insurance through our provider, https://miabc.eventpolicy.ca/ (Canadian Residents only) or you can use your own provider.
Insurance must be received by the RMOW at least 14 days before the start of the booking.

Can I book a picnic table?

Picnic tables are available first come first serve, unless located within a bookable event area (Meadow Park, Rebagliati Park, Bayly Park, Florence Petersen Park).

Are there any covered event spaces?

The Bayly Park event area has a gazebo with picnic tables.

Can I use an event area without a booking?

Casual use is permitted for informal gatherings such as birthday parties, picnics, and other small gatherings whenever the event area has not been booked. RMOW event areas may not be used exclusively and are available on a first-come, first-served basis. Other users may not be asked to move. Alcohol is not permitted without a formalized booking, and all garbage and recycling must be cleaned up and removed from the site.

Can I bring a food truck to my event?

Yes, food trucks are permitted in our event areas. Placement can be determined by the Outdoor Facilities team based on the lawn’s condition at the time of the event. We discourage generator use wherever possible and can provide access to shore power. Food trucks must hold a valid Whistler business license and may not sell food to the public.
